Cancellation Policy – If you fail to attend, cancel, or reschedule an appointment within 24 hours of the appointment time, a late cancellation fee will apply. This charge will be 50% of the full appointment fee.
Confirmation and reminder emails and/or text messages are sent as a courtesy, typically 1–2 days prior to your appointment. However, responsibility for attending appointments remains with the client.
Medical Insurance and Payments – At present, we are unable to accept most private health insurance policies, with the exception of BUPA and Healix. However, we can provide a receipt upon request to allow patients to submit a claim for reimbursement through their insurer where applicable.
When insurance billing becomes available, we will invoice the relevant provider directly. Please note that you remain responsible for payment of our fees in full. You must provide valid insurance details, including your membership number, policy number, and a pre-authorisation code for the proposed treatment.
If a claim is rejected or your policy allowance is exceeded, you will be liable for any outstanding balance.
Direct Payments – Where self-payment is required, payment is due at the time of each appointment. We accept cash and most credit/debit cards. Please note that we do not accept AMEX, Discover, JCB, or UnionPay.
Receipts can be provided by email upon request for insurance reimbursement purposes.
Late Payment – Ongoing treatment may be suspended or cancelled if fees are not paid in full when due. In the event that payment enforcement is required, the client will be responsible for any associated recovery costs.
Referrals – If further treatment or diagnostic imaging is required, we may refer you to a third party. A referral letter detailing your condition and the reason for onward referral will be provided.
Once referred, it is your responsibility to arrange appointments directly with the third party. You will then be subject to their terms and conditions, and David Cowan Physiotherapy accepts no liability for services provided by third-party organisations.
